Description of Data Processing
As part of the event “AI Grand Est ENACT Cluster Day 2025” taking place on 12 December 2025 at Inria Centre at Université de Lorraine, the organizing team provides an online registration form for invited participants to facilitate logistical planning based on confirmed attendees. The group of invitees includes both internal and external staff from the Université de Lorraine. The information collected is essential to ensure the proper management of guests and access to the event venue. Registrants provide their personal data voluntarily, on the basis of consent.
Purpose of Data Processing
Purpose: In order to manage event registrations, the collection of certain personal data is necessary to ensure appropriate arrangements for attendees and to facilitate venue access.
Legal Basis: The legal basis for this processing is the consent of the data subject (Article 6(1)(a) of the General Data Protection Regulation No. 2016/679).
Personal Data Processed
Categories of Data: Access to the event venue requires a “Security and Defence Officer (FSD)” request, submitted in advance by the organizers. For this purpose, the following data are collected: first name, last name, email address, affiliated organization, position, and nationality.
Source of Data: Individuals wishing to register provide their own personal data on the basis of consent.
Data Subjects: Individuals registered for the event “AI Grand Est ENACT Cluster Day 2025.”
Recipients of Data: The data recipients are Mariana Diaz, Manon Mignardot et Caroline Chrétien (AI Grand Est ENACT). The data will be processed by the event’s organizing team, specifically the three individuals mentioned above, and stored on Université de Lorraine servers. The data will also be shared with the Security and Defence Officer for access authorization management.
Data Transfers Outside the EU: Not applicable.
Data Retention Period: The personal data collected and processed will be retained for the duration of the event’s organization and for up to ten (10) days after the event for individuals who have requested the removal of their contact details from the AI Grand Est ENACT Cluster contact list. The contact details of individuals who have not requested the deletion of their data will be retained by the operational team until December 2029 for the purpose of disseminating information related to the cluster. Data subjects may unsubscribe at any time by clicking on this link. The data transmitted to the FSD will be retained by the Ministry of ESR for a maximum period of two (2) years following the event.
Security Measures: The Université de Lorraine implements appropriate technical and organizational measures to ensure the security and confidentiality of personal data.
